By accessing or using Scanlate (“the Service”), operated at scanlate.app, you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Service. These terms apply to all users, including institution administrators, team members, and visitors.
Scanlate is a QR-based multilingual guide platform. Institutions create digital exhibits with text, images, and audio. Visitors scan QR codes or NFC tags to access exhibit content translated into their preferred language with AI-generated audio narration. The Service includes:

We reserve the right to suspend or terminate accounts that violate these terms or that we reasonably believe to be fraudulent.
Institutions retain full ownership of all content they upload to Scanlate, including exhibit text, images, and custom audio files. By uploading content, you grant Scanlate a non-exclusive, worldwide licence to:
This licence terminates when you delete your content or close your account. You are solely responsible for ensuring you have the right to upload and share the content you provide.
Visitors who create accounts may post comments and ratings. By submitting content, you grant Scanlate and the relevant institution a licence to display that content. Comments are subject to moderation by the institution. Institutions may delete comments and block visitors who violate community guidelines.

Scanlate offers free and paid subscription plans. Paid plans are billed through Stripe on a recurring basis (monthly or annually). By subscribing to a paid plan, you agree to:
You may cancel your subscription at any time through the billing dashboard or Stripe portal. Upon cancellation, you will retain access until the end of your current billing period. Downgrades may result in loss of access to features exclusive to higher-tier plans.
New institution registrations are subject to review and approval. We reserve the right to decline, suspend, or terminate institution accounts at our sole discretion. Institutions in a pending state cannot access dashboard features or publish content.
We strive to maintain high availability but do not guarantee uninterrupted access to the Service. We may temporarily suspend access for maintenance, updates, or circumstances beyond our control. We will endeavour to provide advance notice of planned downtime where possible.
To the maximum extent permitted by law, Scanlate shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or goodwill, arising from your use of the Service.
Our total liability for any claim arising from or related to the Service shall not exceed the amount you paid to us in the twelve (12) months preceding the claim.
You agree to indemnify and hold harmless Scanlate from any claims, damages, losses, or expenses (including legal fees) arising from your use of the Service, your content, or your violation of these terms.
We may suspend or terminate your access to the Service at any time, with or without cause, with or without notice. Upon termination, your right to use the Service ceases immediately. You may request an export of your data within 30 days of termination.
These Terms are governed by and construed in accordance with the laws of Ireland. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of Ireland.
We may update these Terms from time to time. We will notify registered users of material changes via email. Continued use of the Service after changes constitutes acceptance of the updated terms. The “Last updated” date at the top indicates when these terms were last revised.
